Convert Excel to PDF

To convert Excel to PDF, set the print area and Fit to 1 page wide in Page Layout, then use File, Save As, PDF or File, Export. PDF Viewer on this site does not convert XLSX files; it opens the PDF you export so you can check pages, annotate and sign it in the browser. The hard part of Excel to PDF is not the export, it is getting the sheet to fit, and that is what this guide fixes.

Main method: page setup first, then Save As PDF

  1. Select the cells you want in the PDF, then Page Layout, Print Area, Set Print Area. Without this, Excel prints every used cell, including stray notes far to the right.
  2. On the Page Layout tab choose Orientation: Landscape for wide tables.
  3. In the Scale to Fit group set Width to 1 page and Height to Automatic. This shrinks the sheet so no column spills onto a second sheet of paper.
  4. Page Layout, Print Titles, Rows to repeat at top: pick the header row so every page of a long table has column names.
  5. Check View, Page Break Preview; drag the blue lines to move breaks between logical sections.
  6. File, Save As, choose PDF, click Options to pick Active sheet, Entire workbook or Selection, then Save. On Mac use File, Export, or File, Save As with PDF.

Google Sheets: File, Download, PDF opens a dialog with the same choices (current sheet, workbook, selection, fit to width, repeat frozen rows). LibreOffice Calc: Format, Page Style, Sheet tab, Fit print range to width, then File, Export As, Export as PDF.

What changes between the sheet and the PDF

  • Formulas and links. Only values are printed. Hyperlinks survive with Save As PDF but not with the PDF printer.
  • Gridlines. Off by default; turn on Page Layout, Gridlines, Print if the table has no borders.
  • Hidden rows and columns stay hidden, filtered rows stay out. Clear filters if you need the full data.
  • Comments and notes are not printed unless Page Setup, Sheet, Comments is set.
  • Tiny text. Fit to 1 page on a 40-column sheet gives 4-point type. Split the range or print across two pages wide instead.
  • Colors. Fill colors print as set; conditional formatting is included because it is part of the display.

Excel to PDF on a phone and from the command line

The Excel app on iPhone and Android exports with the Share icon, Export, PDF (or Send a Copy, PDF). It uses the sheet's saved print settings, so set the print area and Fit to width on a computer first if you can; the phone app only lets you pick orientation and paper size. The Google Sheets app offers Share and export, Send a copy, PDF, with the same fit and gridline choices as the web version.

For batches, LibreOffice converts without a window: soffice --headless --convert-to pdf report.xlsx. It prints every sheet in order using the print ranges saved in the file, and it is the usual choice for nightly report jobs on a server. One caveat: LibreOffice's rendering of charts and conditional formatting is close to Excel's but not identical, so review the first PDF from a new template before automating.

Check the result

Open the PDF in the PDF viewer on this site and scroll the thumbnails: a blank or nearly blank page means a stray cell pushed the print area; a page with only one column means the width did not fit. Zoom in on the smallest text to see if it is readable. You can delete an empty page or rotate a landscape page right there and download, nothing uploaded.
