Convert PDF to Excel
To convert PDF to Excel, use Excel's own Get Data From PDF importer (Microsoft 365), Acrobat's Export to Spreadsheet, or the free Tabula tool; a scanned table needs OCR before any of them can read it. First question: can the table be read at all?
A PDF to Excel converter needs three things: a text layer, consistent column positions, and table lines or enough spacing to tell columns apart. A bank statement exported by the bank has all three. A photographed receipt has none.
Test the text layer: open the file in the viewer, press Ctrl+F and search for a number from the table. No match means it is a scan; run OCR on the PDF first and download the searchable copy. OCR output is good enough for words, but check every digit afterward: 0 and O, 1 and l, 5 and S are classic confusions. See what OCR is for the limits.

Main method: Get Data From PDF in Excel
- Open a blank workbook in Excel for Microsoft 365 (Windows).
- On the Data tab choose Get Data, From File, From PDF, and pick the file.
- The Navigator lists Table001, Table002 and each Page. Click one to preview it; tables are what you want, pages are a fallback.
- Click Transform Data if headers are in the first row or columns need types; otherwise click Load.
- The table lands in a sheet as a query. Right-click, Refresh re-reads the PDF if it changes.
Acrobat Pro: open the PDF, File, Export To, Spreadsheet, Microsoft Excel Workbook. Tabula: launch it, open the PDF, drag a rectangle around the table, Preview and Export as CSV, then open the CSV in Excel. For a handful of rows, select the text in the viewer, paste into Excel and use Data, Text to Columns with a space or tab delimiter.
Online services (Smallpdf, iLovePDF, Adobe's web converter) also do PDF to Excel; they are convenient but the statement is uploaded, which is a poor fit for financial documents.
What breaks on the way from PDF to Excel
- Numbers as text. Thousands separators, currency symbols and parentheses for negatives arrive as text; use Text to Columns or VALUE() to fix them.
- Merged and wrapped cells. A cell whose text wraps to two lines often becomes two rows.
- Tables without lines. Columns aligned by spaces get split unpredictably; pdftotext -layout plus a fixed-width import is more reliable than a converter here.
- Multi-page tables. Each page comes in as a separate table with repeated headers; append them in Power Query.
- Formulas. There are none in a PDF. Totals are plain numbers; rebuild SUMs yourself.

The copy-paste route, step by step
For a table of a few dozen rows, a converter is overkill. The viewer plus Excel's own text tools is faster and runs entirely on your machine.
- Open the PDF in the viewer. If it is a scan, run OCR first and wait for it to finish.
- Drag to select the table rows, press Ctrl+C.
- In Excel, click a cell and paste. The rows usually land in one column, one line per row.
- Select that column and choose Data, Text to Columns, Delimited, tick Space (or Tab), and Finish. Use Fixed width instead when amounts are right-aligned and names contain spaces.
- Fix columns that merged: Flash Fill (Ctrl+E) separates a value pattern once you type the first result by hand.
In Google Sheets, paste and use Data, Split text to columns, or the SPLIT() function. This route keeps nothing but the characters, so currency formats and bold headers are yours to re-apply, but it never puts a number in the wrong row.
Check the result
Compare the column totals in Excel with the totals printed in the PDF; a mismatch points to a misread digit or a lost row. Keep the original PDF open in the online PDF viewer in a second tab and use search inside the PDF to jump to any value you doubt.
